Actions will become familiar to Lobster users. Actions and TODO lists are the basis of Projects. Action always has a user or users responsible for it. Actions are stakeholder meetings, events, campaigns and other project-related meetings.

Actions are also important because the progress of a project is measured with the advancement of TODOs and Actions.

It is possible to add stakeholders and organisations to an Action. Adding also relevant people from the organisation using Lobster is, of course, possible.

Creating a new Action

It is possible to add a new Action anywhere in Lobster. Clicking the blue circle button with + in the middle of it and choosing Add new action is the first the in the process. On Project view, under the Actions tab is a button + New action. By clicking the button starts the same process as from the top right corner.

Actions tab shows all unfinished and completed Actions of a Project.
In addition, you can create a new action on the tab.

Basic info and secondary projects

The basic information of an Action covers a name, defines a Project for the Action and sets a start date for the Action. End date is optional. If the end date is not specified, Lobster assumes that the action will be for one day.

Each Action is part of at least one project. However, there are situations in lobbying where the issues of one meeting concern several projects.

Therefore, secondary projects can be defined for an Action. In this case, the Action is related not only to its main project but also for the selected secondary projects.

Responsible users

In Lobster, one or more responsible users can be selected for each Action. The Dashboard of those in charge is customized with the TODOs and Actions that they are on their responsibility.

Category

Categories define the type of an Action. Types include stakeholder meetings, events, campaigns, and other project-related meetings.

Stakeholder Meeting category covers meetings with stakeholders in the system. These meetings are listed e.g. on the Dasboard with stakeholders picture.

Event category refers to different events related to a project. Events can be e.g. seminars or fairs.

Campaign category refers to different actions related to stakeholders, organisations or public. A campaign can be a series of meetings or ad campaign on social media.

Other meeting category refers to internal and external meetings.

Stakeholders

Picking stakeholders for an Action is quick and easy. Stakeholders can be searched, for example, by name, title, or organization. In addition, stakeholders can be found with tags; For example, Lobster’s Master Data has Germany tag. Each MEP from Germany has the same tag, and the same applies to other countries as they have a tag with the name of their respective countries.

The names and pictures of the stakeholders selected for stakeholder meeting Actions are displayed e.g. on the Dashboard.

Description

It is recommended to add at least basic information about the stakeholder meeting or other Action to the description of the procedure. It is also possible to cover broader issues on the description, such as the meeting agenda, background information for the participants and the meeting memo.

Attachments

It is possible to add as many attachments as needed or leave the Action without attachments. It is also possible to add attachments later.

Attachments are often presentations or background memos related to the Action. As attachments are linked to Lobster, files are always up to date.

After filling in the required and optional information, the Project is saved by clicking the Save button at the bottom right of the page. Alternatively, the process can be cancelled by clicking the Cancel button next to the Save button.
